Import visits
Bring completed visits into a consistent customer record. Review dates, coverage, and the service context.
Use case guide
Define lapsed. Draft, edit, send from your inbox. Reti uses visit history.
The problem
Most service businesses track bookings, not returns. Completed visits tell you who actually comes back. RetentionTek starts with completed visit history, not future appointments.
A client is flagged as lapsed when they pass their expected return deadline based on their service category and visit history. The deadline is calculated from completed visits, not from booked appointments. RetentionTek learns the expected return window per service from your imported visit history. When a client passes their expected return date, they appear in the overdue list with the last service, expected date, and days overdue.
For each lapsed client, Reti drafts a message that references the last service and the typical return window. You review the wording, make changes, and approve the send from your connected inbox. The message goes from your own email address. Drafting uses Co-Pilot credits, not email credits. Ten drafts per workspace per UTC day. Nothing sends without your explicit approval.
The expected return window varies by service category. Neurotoxin: three to four months. Filler: six to twelve months. Color: four to eight weeks. Cut: four to six weeks. Massage: four to eight weeks. Fitness class: one to two weeks. Nail: two to three weeks. RetentionTek calculates the window from your actual visit history, not from industry averages.
Export completed visits as CSV or XLSX from your booking system or POS. Maximum 2 MiB, 5,000 rows, 80 columns. The import maps customer identifiers, visit dates, attendance status, location, and service category. De-duplication prevents double-counting. No provider integration is required.
How it works
Bring completed visits into a consistent customer record. Review dates, coverage, and the service context.
Review an explainable score and the return patterns behind it. See what the history supports and where it is incomplete.
Use the review queue to prioritize attention. A team member reviews the evidence and approves the next step.
RetentionTek's Retention Agent explains the score and supports the review workflow. Reviewing a signal does not automatically contact a customer or book an appointment.
Honest limits
Email drafting and sending from your own inbox are the available channels.
The Retention Score is withheld when fewer than 30 mature customers exist per component. You still see the raw visit data and the overdue list.
Reti drafts messages you edit. You approve the send from your own connected inbox. Nothing sends without your explicit approval.
RetentionTek does not store medical records, diagnoses, or treatment notes. It works with operational visit data you export from your booking system or POS.
