Import visits
Bring completed visits into a consistent customer record. Review dates, coverage, and the service context.
Product capability
New, active, at-risk, lapsed, churned. Segment sizes and trends from your visit history.
The problem
Most service businesses track bookings, not returns. Completed visits tell you who actually comes back. RetentionTek starts with completed visit history, not future appointments.
RetentionTek assigns every customer to one segment based on their visit history and expected return windows: New (first visit within the window), Active (returned by expected deadline), At-risk (approaching expected deadline), Lapsed (passed expected deadline), Churned (no visit for multiple expected cycles). Segment definitions use completed visits only, not bookings or messages sent.
The dashboard shows how many customers are in each segment and the trend over time. Watch the at-risk and lapsed segments grow or shrink as you import new visits. The segment view updates with each import so you always see the current state of your customer base.
Segments are computed from the imported visit history using the expected return window per service category. A customer moves to at-risk as they approach their expected deadline, to lapsed when they pass it, and to churned after multiple missed cycles. The computation is deterministic, so the same visit history always produces the same segments.
Click any segment to see the customers in it. The follow-up queue prioritizes at-risk and lapsed customers by recency, frequency, and value. Reti drafts a message for each flagged customer. You edit the draft and send from your connected inbox. Nothing sends automatically.
How it works
Bring completed visits into a consistent customer record. Review dates, coverage, and the service context.
Review an explainable score and the return patterns behind it. See what the history supports and where it is incomplete.
Use the review queue to prioritize attention. A team member reviews the evidence and approves the next step.
RetentionTek's Retention Agent explains the score and supports the review workflow. Reviewing a signal does not automatically contact a customer or book an appointment.
Honest limits
Email drafting and sending from your own inbox are the available channels.
The Retention Score is withheld when fewer than 30 mature customers exist per component. You still see the raw visit data and the overdue list.
Reti drafts messages you edit. You approve the send from your own connected inbox. Nothing sends without your explicit approval.
RetentionTek does not store medical records, diagnoses, or treatment notes. It works with operational visit data you export from your booking system or POS.

Yes. The segment view updates with each visit import so you always see the current state of your customer base.
Not currently. Segments are based on the deterministic visit-pattern logic. Custom segments are planned for a future release.
Completed visits only: customer identifiers, visit dates, attendance status, location, and service category. Not bookings, not messages sent.
The follow-up queue prioritizes at-risk and lapsed customers by recency, frequency, and value. Reti drafts a message for each flagged customer.
Segments are still computed. The Retention Score is withheld when fewer than 30 mature customers exist per component, but segment assignment works at any scale.
