Import visits
Bring completed visits into a consistent customer record. Review dates, coverage, and the service context.
Use case guide
No-show is a missed appointment. Churn is a missed return window. RetentionTek tracks returns.
The problem
Most service businesses track bookings, not returns. Completed visits tell you who actually comes back. RetentionTek starts with completed visit history, not future appointments.
A no-show is a missed appointment. The client booked but did not arrive. Churn is a missed return window. The client did not come back by their expected deadline based on their visit history. RetentionTek tracks completed visits, not bookings. A no-show does not count as a completed visit. A churned client is one who has passed their expected return deadline without a completed visit.
A no-show may still be an active client who will rebook. A churned client has broken their visit pattern and needs a different follow-up. RetentionTek separates these signals so you apply the right action: a gentle nudge for a no-show, a win-back draft for a churned client. The dashboard shows both signals distinctly.
No. RetentionTek does not send appointment reminders. It does not send any messages automatically. Reti drafts win-back messages for churned clients. You edit the draft and send from your connected inbox. Nothing sends without your explicit approval. SMS is not active in the current release.
Export completed visits as CSV or XLSX from your booking system or POS. Maximum 2 MiB, 5,000 rows, 80 columns. The import maps customer identifiers, visit dates, attendance status, location, and service category. De-duplication prevents double-counting. No provider integration is required.
How it works
Bring completed visits into a consistent customer record. Review dates, coverage, and the service context.
Review an explainable score and the return patterns behind it. See what the history supports and where it is incomplete.
Use the review queue to prioritize attention. A team member reviews the evidence and approves the next step.
RetentionTek's Retention Agent explains the score and supports the review workflow. Reviewing a signal does not automatically contact a customer or book an appointment.
Honest limits
Email drafting and sending from your own inbox are the available channels.
The Retention Score is withheld when fewer than 30 mature customers exist per component. You still see the raw visit data and the overdue list.
Reti drafts messages you edit. You approve the send from your own connected inbox. Nothing sends without your explicit approval.
RetentionTek does not store medical records, diagnoses, or treatment notes. It works with operational visit data you export from your booking system or POS.
