RetentionTek vs Aesthetic Record
RetentionTek vs Aesthetic Record
Aesthetic Record is a clinical EMR built for med spas: charting, photos, e-prescribing, HIPAA. It publishes $15 to $19 per user a month plus a $399 onboarding fee, and its add-ons are priced separately. RetentionTek is a $199 retention layer that takes visits, not charts. One is your record; the other is your follow-up.
Where they are strong
Where Aesthetic Record is strong
- Aesthetics-specific charting, photo management and before-and-after comparison.
- HIPAA compliance and a BAA, which we do not yet have.
- E-prescribing and an AI scribe, both as paid add-ons.
- Inventory, packages and memberships in the same record as the treatment.
- Published per-user pricing, which is more transparent than most of the EMR category.
Where we differ
Where RetentionTek differs
- It is not a chart. Visits, not notes, so it never becomes a second medical record to keep current.
- Flat $199 rather than per user. Aesthetic Record is $15 to $19 per user a month plus $399 onboarding.
- No add-on ladder for the retention job. E-prescribing is $31 to $45 a month and the AI scribe $30 to $75 on top of their base.
- A browser product. Reviewers note Aesthetic Record is mobile-app only, with no browser option.
- Export is included. A reported $1,120 data-export fee applies at cancellation.
- Retention measurement: a score, a queue and evidence, rather than a record you read.

Price reality
Per user plus onboarding, against one line
Aesthetic Record publishes $15 to $19 per user a month with a $399 one-time startup and onboarding fee. E-prescribing and the AI scribe are separate monthly add-ons.
- Three users on the reported entry tier: about $45/mo, plus $399 once.
- Adding e-prescribing for one prescriber: about $31 to $45/mo more.
- Adding the AI scribe: about $30 to $75/mo more.
- RetentionTek alongside: $199/mo, no per-user charge, no onboarding fee.
The two products barely compete, and that is the point. An EMR is priced per person because each person charts. A retention layer is priced flat because the queue does not care how many staff you have. Buying both is normal; buying both per-seat is not.

The EMR stays. This goes beside it
If Aesthetic Record holds your charts, keep it. Export completed visits and import the file; nothing clinical moves. The boundary is deliberate: we never ask for treatment notes, so there is no second record to reconcile and no clinical liability in the retention layer.
Frequently asked questions
Practical answers
Does RetentionTek replace Aesthetic Record?
No. Aesthetic Record is a clinical EMR: charting, photos, prescriptions. RetentionTek is a retention layer over visit history. If you need a record, you need an EMR. If you need to know which patients stopped coming, that is a different question with different data.
Is RetentionTek HIPAA compliant?
Not yet, and we do not claim it. The boundary is the argument: visits, not charts, so no treatment notes and no second medical record. A BAA is on the roadmap. Until it is signed, treat HIPAA as Aesthetic Record's job and retention as ours.
Why is per-user pricing a problem?
Because retention work does not scale with headcount. A five-person front desk pays five times for the same queue. Aesthetic Record prices per user because each user charts; we price flat because the queue is one queue. At three users the difference is already material.
What is the $399 onboarding fee?
A one-time startup and onboarding charge on their published schedule. It is not unreasonable for an EMR, where setup means templates, forms and a record structure. RetentionTek has no onboarding fee to start; the only one-time charge is $99, and only when you turn on texting.
Is it true there is no browser version?
Reviewers describe Aesthetic Record as mobile-app only with no browser option, which matters if your front desk works on a desktop. RetentionTek is a browser product and phone-shaped, so the queue is readable from either. Check the current platform support with them before deciding.
How do visits get from the EMR into RetentionTek?
Export a completed-visit file and import the CSV or XLSX. Customer identifiers, visit dates, attendance, location and service, up to 2 MiB, 5,000 rows and 80 columns. No clinical fields are needed, which is why the export is small.
